Email candidates their interview details when you schedule

Moving a candidate to an interview stage now takes a location, prefilled from the client’s address, and can email the candidate the date, time and address.

What changed

When you move a candidate into an interview stage, the scheduling window now also asks for a location. It starts with the client company’s address when one is on file, and you can change it for this interview. The location is saved with the interview and appears on the Google Calendar event if you add one.

You can also tick a box to email the candidate a ready-written good-luck message that includes the date, time and address. You can edit the message before it goes out.

Why it matters

The candidate gets exactly where they need to be and when, without you writing the same email each time. The date and time in the message always match the time you picked.

How to use it

Move a candidate to an interview stage, pick a time, check the location, then tick “Email the candidate the interview details.” The message appears with a subject you can edit. When you choose Schedule, the candidate is moved, the time is saved, and the email is sent from your connected Gmail.

Organization owners and administrators can change the wording under Settings > Notifications, in the candidate interview email section. The template can use the candidate’s name, the company, the job title, the date, the time, the address and your name.

Boundaries to know about

The email is sent right away when you choose Schedule, not on a schedule, and it is sent from your own connected Gmail, so Gmail must be connected with sending permission. It needs a location and a usable email address for the candidate, and it is not available while using Switch User.

The calendar invite is separate and optional: adding the candidate to a calendar invite does not send this email, and sending this email does not require a calendar. Calendar events are for Google Calendar only. If you change the time or location later, the candidate is not emailed again. If the email cannot be sent, the candidate is still moved and the time is still saved, and you are told that the email did not go out.
